OPSA Payment Policy

OPSA is committed to providing families with accessible, affordable, and transparent educational services. This policy explains our membership cycle, products, payment methods, and payment terms to ensure clarity and consistency for all members.

1. Membership Cycle (Calendar Year)

OPSA membership operates in annual cycles from 1 January to 31 December each year. All membership calculations (annual, monthly, and pro-rata) are done within this cycle.

2. Products and Payment Methods

OPSA offers two main types of products/services with different payment methods:

  • 2.1 Once-off prepayment (e.g. Assessments / once-off products)
    These products are paid in advance. At the end of the registration process, the PayFast payment must be completed to activate the product.

  • 2.2 Membership (day-to-day programmes and similar services)
    Membership fees are paid in advance. At the end of the registration process, you complete the PayFast step and select:

    • Annual payment (once-off, paid in advance), or

    • Monthly payment (paid in advance via PayFast recurring payment).

3. Registration, Trial Period, and When Payment Starts

  • The PayFast payment step is completed at the end of the registration form.

  • During registration, you must select your preferred payment option:

    • Annual payment (paid in advance as a once-off payment), or

    • Monthly payment (paid in advance via PayFast recurring payment).

  • Payment will start automatically based on your registration choice:

    • If you join without a trial, payment is activated immediately.

    • If you join with the 14-day trial, no payment is processed during the trial period, and payment is activated when the trial expires.

  • If you cancel the membership before the end of the 14-day trial, no payment will be deducted. Please notify finance@opsasupport.co.za to cancel within the trial period.

  • If you would like the payment deduction date to be changed to a more suitable date, please email finance@opsasupport.co.za and OPSA Finance will adjust the date for you.

4. Annual Payment (Once-off, Paid in Advance)

  • Members may choose to pay the membership once-off for the year in advance.

  • If a member joins later in the year (or only continues after a trial period), the annual amount is calculated pro-rata for the remainder of the membership cycle (calendar year).

5. Monthly Payment (Paid in Advance) and Pro-rata Smoothing

If you choose monthly payment, OPSA applies a “pro-rata smoothing” method when joining mid-month or when a trial period expires mid-month. This spreads the once-off pro-rata impact across the remaining months of the membership cycle to reduce cashflow pressure.

  • When is pro-rata applied?
    If you join in the middle of a month, or if the 14-day trial period expires mid-month.

  • How is it calculated?
    The pro-rata for the joining month (from the joining date / the day after the trial expires up to the end of that month) is calculated and then divided by the number of months remaining in the membership cycle.

  • This apportioned pro-rata amount is then added to the normal monthly membership fee to have the least impact on cash flow.

6. Financial Activity Statements and Reconciliation

  • OPSA will send financial activity statements once a month, reflecting your financial records and transactions.

  • Payment will be conducted automatically on your joining date (or the date your trial expires, or any alternative date arranged with OPSA Finance).

  • Members must ensure that all transactions reflect correctly on these statements.

  • If any transaction does not reflect or does not reconcile, members must inform OPSA Finance as soon as possible by emailing finance@opsasupport.co.za.

7. Non-Payment and Access Restrictions

  • If an account is one month in arrears, OPSA will notify the member to rectify the outstanding amount.

  • If an account is two months in arrears, access may be temporarily suspended until the account is brought up to date or an approved arrangement is in place.

  • If an account is three months in arrears without an agreed arrangement, services may be permanently suspended/terminated.

8. No Joining or Administration Fees

OPSA does not charge any joining or administration fees upon registration.

9. Consistent Fees

The fee you pay at enrolment remains the same for the duration of your child’s schooling with OPSA, as a loyalty principle (unless OPSA needs to amend product structure or policy and members are properly notified).

10. Family Discount (Multiple Children)

  • Fees apply only for the first three children from the same household.

  • The fourth child (and any additional children) may join free of charge.

11. Referral Discount

Refer someone to OPSA, and for every successful enrolment you will receive a once-off discount as a thank-you for growing the OPSA community.

12. Financial Hardship and Payment Arrangements

If you experience financial pressure, please contact finance@opsasupport.co.za as soon as possible. OPSA may, on merit, consider arrangements such as payment plans, temporary deferrals, or other suitable solutions.

13. EFT Payments (Exceptional)

EFT payments are allowed only in exceptional cases, and each case will be assessed on its merits. EFT is particularly considered for tutor centres paying on behalf of learners, and can be arranged with OPSA Finance.

14. Refunds and Disputes

  • Refunds are not typically provided unless an error was made by OPSA.

  • Billing disputes must be raised within 30 days by contacting finance@opsasupport.co.za.

15. Tutor Centre Discounts

Special discounts are available for tutor centres enrolling multiple learners. Please contact us directly for more information.

16. Amendments

OPSA reserves the right to amend this policy. Members will be notified of significant changes via email and/or the OPSA website.
